How to Sign a PDF Without Printing It

Print it, sign it, scan it, email it back. It is still the default for a lot of people, and it is the worst way to do this — it needs a printer, a scanner or a second device, and it degrades the document every time round the loop.

Why print-sign-scan persists

Mostly because the sender asks for a "signed copy" and people read that as a physical act. It almost never is. Unless the document specifically requires a wet signature or a witness, what the sender needs is a PDF with your signature on it, and how the signature got there is not their concern.

What to do instead

1. Open the PDF on your phone, in Mail or Files.
2. Place your text in the fields — name, date, address, whatever it asks for.
3. Add your signature, drawn once and reused after that.
4. Export the finished file, and send that.

The result is a clean, readable, full-resolution PDF. It is also smaller than a scan, which matters more than it sounds when a form has twelve pages and the recipient's mail server rejects anything over 10 MB.

The option to avoid: photographing a signed page

Signing a printed page and photographing it produces the worst artefact of the three. It is skewed, the white balance is off, the text is less legible than the original, and the file is often larger than the PDF it came from. If you are going to print anyway, use a scanning app that does perspective correction rather than the camera roll.

When you genuinely do have to print

Some documents still require a wet signature: certain property transfers, some wills and affidavits, and anything that has to be notarised or witnessed in person. If the document says so, or the receiving body says so, that is the answer and no app changes it. What is worth checking is whether it actually says so, because a surprising number of forms are assumed to require it and do not.
